VLGo Privacy Policy

VLGo is operated by Van Lang Education Group ("we", "our", or "us") and refers to both the https://www.vlu.edu.vn website and the VLGo mobile application (the “Service”). 

This Privacy Policy informs visitors of our policies regarding the collection, use, and disclosure of Personal Information for users who choose to use our Service. 

By using our Service, you agree to the collection and use of information in accordance with this policy. The Personal Information we collect is used only for providing and improving the Service. We will not use or share your information with anyone except as described in this Privacy Policy. 

The terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, unless otherwise defined. 

Information Collection and Use 

For an enhanced experience while using VLGo, we may request that you provide us with certain personally identifiable information, including but not limited to: 

• Full name 
• Student or staff ID 
• University email address 
• Face image (used for FaceID verification at parking gates) 
• Transaction history (parking, service registrations) 
• Phone number (optional for support purposes) 

The information that we collect will be used to contact or identify you, verify your identity, provide core features of the Service (e.g., gate access and parking registration), and improve our services.  

Biometric data (face images) is collected solely for identity verification and is subject to strict data protection measures as outlined in the Biometric Data & FaceID section.

Biometric Data & FaceID

To enable access to our smart parking system, VLGo allows users to register their facial image using the camera or by uploading a photo. The image is used exclusively for facial recognition at campus parking gates.

• Collection: We collect a single facial image during registration.
• Use: The image is used only for identity verification via FaceID when accessing parking gates. It is not used for advertising, tracking, profiling, or any unrelated purpose.
• Storage: Face data is securely stored on Van Lang Education Group’s on-premised data center, infrastructure and encrypted both in transit and at rest.
• Third Parties: Face data is not shared with any third parties.
• Retention:
  • Face data is retained as long as your account remains active.
  • If there is no FaceID-related activity within six (6) consecutive months, your face data will be automatically deleted from our system.
  • You may also request manual deletion at any time. All biometric data will be permanently erased within 30 days of account deletion or consent withdrawal. 

Log Data 

When you use the Service, we collect data from your device called Log Data. This may include: 

• Your IP address 
• Device name and model 
• Operating system version 
• App version 
• Time and date of usage 
• Actions performed within the app (e.g., registration, payment) 

This data is used for system diagnostics, app performance analysis, and troubleshooting. 

Cookies and Tracking Technologies 

While VLGo does not use browser-based cookies, the mobile app may use technologies like Firebase Analytics to gather anonymized usage statistics. These tools help us improve the Service by better understanding user interaction patterns. No personally identifiable information is shared or sold. 

Service Providers 

We may engage third-party companies and individuals for the following purposes: 

• To facilitate the operation of the Service 
• To provide technical support 
• To process transactions on our behalf 
• To analyze usage of the app 

These third parties have access to your Personal Information only to perform tasks on our behalf and are contractually bound not to disclose or use it for any other purpose. 

Security 

We value your trust in providing us with your Personal Information and are committed to applying appropriate security measures to protect your data:

• Sensitive data such as facial images and transaction history is protected using full end-to-end encryption.
• All stored data is safeguarded by firewalls, access controls, and is hosted on secure servers operated by Van Lang Education Group or an authorized partner.
• Specifically, facial image data is processed by Internal, our contracted facial recognition provider for the VLGo smart parking system.

While we implement strict technical and organizational security measures, no system can be guaranteed to be 100% secure. Therefore, we are committed to continuously reviewing and upgrading our safeguards to protect your personal data against loss, unauthorized access, or misuse. 

Links to Other Sites 

Our app may contain links to other internal systems or school resources. These services are under the governance of Van Lang University, but we recommend reviewing the privacy policies of any external links before interacting with them. We are not responsible for third-party content or data practices. 

Children’s Privacy 

VLGo is intended for use by students, staff, and authorized visitors aged 18 and above. We do not knowingly collect personal information from children under 13. If we discover that a user under 13 has provided us with personal information, we will delete such data immediately. 

Changes to This Privacy Policy 

We may update this Privacy Policy from time to time. We will notify users of significant changes via in-app alerts or through our official website. The updated policy will take effect immediately once posted on this page. 

App Permissions Explanation 

INTERNET 
Purpose: Required to connect with our backend server for data synchronization, processing parking registrations, and receiving push notifications. 
Usage: Core to the functionality of real-time service operations. 

CAMERA / IMAGE UPLOAD 
Purpose: Used to capture or upload a face photo during FaceID registration. 
Usage: Only used for identity verification; images are encrypted and securely transmitted. 

RECEIVE_BOOT_COMPLETED 
Purpose: Restores scheduled notifications and reminders after device reboot. 
Usage: Ensures important app reminders (e.g., parking cut-off time) are retained. 

SCHEDULE_EXACT_ALARM & USE_EXACT_ALARM 
Purpose: Allows scheduling precise reminders such as “register before 21:30” notices. 
Usage: Required for timely alerts, especially on newer Android versions and IOS 14.
